Child Care Assistance Program (CCAP)
This page is to help you understand the basics of the program in hopes to avoid additional charges to be billed to the parent when on CCAP. When on CCAP you will need to make sure your approvals match up to the days and times your child is in attendance.
The following is the shift difference (daytime vs evening care) and this is how the pay rates change for the times that your child is in care:
Regular Pay (Daytime) is between the hours of 6 am - 6 pm
Alternative Pay (Evening) paid out when your child is in attendance after 6pm and before 6 am.
The following is how the pay rate changes for the hours that your child is in care:
Part Time - 00:00:01 – 5:00:00
Full Time - 5:00:01 – 12:00:00
Full Time + Part Time - 12:00:01 – 17:00:00
Full Time + Full Time – 17:00:01 – 24:00:00
Common reasons payment is either denied or partial payment is made by CCAP
Keep in mind you will be billed the difference if your child is here longer than approved CCAP hours or your child is in attendance before or after regular hours and they are only approved for regular hours. You will also be billed for any day that either CCAP does not pay or partially pays out. The following would be some common reasons that you will be billed out for when CCAP does not pay or partially pays the day that your child is in care:
- Any errors in your swipes (ie: Mixing up a.m. and p.m. when doing a previous in/out)
- Missed swipes (you can only go back 9 days to correct any missed swipes or any errors)
- Any time you have logged your child in and do not log out for the day.
- To many absences in a month.
- Your child is in attendance outside of the approved times (reg/alt times)
- Your child is in attendance longer than the approved hours. CCAP will deny any hours that have not been approved in advance. Keep in mind any and all changes must be done in writing. CCAP does back date requests to the day you turned in your request as long as the request is in writing and you don't have errors on the request. The best way I have found is turning your request for additional hours or changes in writing via email that way you have a copy of what was sent and you have proof that it was sent with the day & time stamped. I would also call to make sure the tech goes over what was turned in to make sure you are not missing any items for the request.
Understanding how hours of care are approved with enrollment into our program.
There are a limited amount of spots that I hold for families that are in need that are on the CCAP/TANF program. It is very important if you are on one of these programs and are using my childcare that my policies are respected so that I can continue to accept these kinds of programs that are available to families. If you are on either Larimer or Weld County CCAP/TANF Program you will need to abide by both county and AJ’s Childcare LLC policies in order to contract with my childcare.
Any contracted spot will be determined by availability of openings in AJ’s Childcare LLC and also by approval of activity that is determined by the CCAP County that the application was submitted to. There should never be children in attendance if one of the parent/guardians for the household is not in a CCAP approved activity. Keep in mind CCAP allows ½ hour drive time to work and ½ hour drive time to pick up children from care every day. Only the CCAP County can approve the activity hours that are needed for each case and once there is an approval, I require a copy of the CCAP approved activity schedule along with the employer letter of approved hours that you could be scheduled to work. At that point, I will review the schedule that is presented and check availability of openings and determine if we are able to accommodate the hours that are needed for care. I have listed below a couple examples of how care is determined for the hours that are allowed to be used in my childcare.
Example with only 1 parent/guardian in the household: I will need to be provided with the parent/guardians schedule and/or any contributing factors that will affect the hours that a child will be in care for with the CCAP approved activity.
An example of this would be as follows:
CCAP was provided by the parent/guardian the hours of 6am-2pm (actual work hours) Monday - Friday for an approved activity.
Based off of this information this is how the contract is expected to be followed.
- Drop off will be approved M-F no earlier than 5:30am
- Pick up will be approved M-F no later than 2:30pm
Example with 2 parent/guardians in the household - This one is a little trickier as the hours will be based off of who goes in the latest for drop off and who gets off the earliest for pick-up of the child/ren in care. In order to be in care I will need to be provided with both parent/guardians schedule and/or contributing factors that will affect the hours the child/ren will be in care according with the CCAP approved activity. If one of the parent/guardians is out of the approved activity it is expected that the child/ren in care to be picked up within ½ hour from that parent leaving the approved activity.
An example of this would be as follows:
CCAP was provided the hours of both parent/guardians.
- First parent/guardian sent in hours of 6am-2pm (actual work hours) Monday - Friday for an approved activity.
- Second parent/guardian sent in hours of 5am-10pm (actual work hours) Monday - Saturday for their approved activity.
Based off of this information this is how the contract is expected to be followed.
- Drop off will be approved M-F no earlier than 5:30am
- Pick up will be approved M-F no later than 2:30pm
